Dance Reservation Policy

South Shore Dancers limits ticket sales to our monthly Saturday dance events to 100 tickets.  This is in accordance with the contractual agreement we have with the Town of Norwell and was initially arrived upon as the maximum number of dancers that the floor will comfortably accommodate.

To that end, South Shore Dancers established the following policy shortly after the club Charter was written in 1989:

Anytime during the hours of any Saturday dance event, anyone in attendance may make advance reservations for future, regularly scheduled Saturday dance events.  Payment may either be made at the time the reservation is made, mailed any time prior to the next scheduled Saturday dance event or made at the check-in table when checking in for the event.

During the two-week period following any Saturday dance event, anyone may request reservations by phone, mail or email.  However, reservations during this two-week period will be filled for members of South Shore Dancers only, with non-members put on a waiting list in the order of reservation request.*

At the conclusion of the two-week period, reservations will be filled from the waiting list in the order received, up to 100 total reservations, and all those on the waiting list will be contacted with the status of their reservation requests.  If there are not enough reservations to satisfy all of the requests at the end of the two-week period, or if any time up to the event there are more requests than reservations available, the waiting list will be retained.  Reservations will be offered to requestors in order as cancellations occur.

Once a reservation has been confirmed, payment may either be mailed any time prior to the next scheduled Saturday dance event or made at the check-in table when checking in for the event.

If, after all reservation requests on the wait-list have been filled, we have not reached our 100 reservation limit, the remaining tickets will be sold on a "first-come, first-served" basis from requests made via phone, mail or email.

If all tickets have not been sold prior to the event*, any remaining tickets will be sold at the door on a "first-come, first-served" basis.

Notes of special interest:

1. If payment is made in advance of the Saturday dance event, you will receive a portion of the event ticket, indicating you have made payment.  If payment is not made in advance of the Saturday dance event, we will retain the entire ticket, indicating that payment has not been made.



2. When you check in at the event and have not paid in advance, the individual at the check-in table will locate your ticket(s), transact the payment and separate your ticket into two parts.  This indicates that payment has been made and serves as a cross-check to the event tally-sheet that lists all reservations for an event.  You will not retain any portion of the ticket and the only memento you will have from the event will be that you had a great time dancing and socializing.



3. Payments made by mail in advance of the Saturday dance event will greatly accelerate the check-in process as you will only have to hand your portion of the ticket to the individual at the check-in table.



4. Once a reservation is confirmed, you will have until 24 hours prior to the event to cancel either by phone or email.
• If payment has been made, you may roll over the reservations to either of the next scheduled two Saturday events* or request a refund.
• A reservation may be rolled over a maximum of three (3) consecutive times before the reservation is cancelled and payment refunded.
• Failure to cancel your reservation prior to the 24-hour window may result in payment forfeiture.  An exception is granted if the reservation is requested by someone else.  (Each instance will be reviewed individually.)
• If payment has not been made, failure to cancel your reservation prior to the 24-hour window may result in your future unpaid reservations being tagged as "bumpable" by a request accompanied by payment.  (Each instance will be reviewed individually).

* Does not apply to the New Year's Celebration or the Pot Luck Supper. These two events do not have a two-week Member Preference Period.  All tickets are sold on a"first-come, first-served" basis.
